Job Description
As the Director of Operations, you will lead the strategic development of processes and policies concerning tutor and school/district placement, onboarding, offboarding, and reporting. Your leadership will guide a dedicated team in shaping a vision for the efficient execution of our semesterly operations.

The ideal candidate possesses outstanding communication and organizational skills, coupled with an ability to adeptly navigate evolving situations and priorities. The Director of Operations is instrumental in ensuring the success of the organization through a commitment to operational excellence and continuous improvement.

Salary Range: $70,000 - $80,000.

Onboarding & Offboarding Responsibilities

  • Manage tutor onboarding and offboarding processes
  • Set strategic vision for tutor on & offboarding and generate clear plan for execution
    • Work cross-functionally to determine criteria for effectively matching tutors with campuses to best meet program implementation & tutor development needs
    • Align execution plan with school/district and program implementation policies, ensuring Managing Team is set up for success
  • Oversee the process of matching tutors with campuses & setting weekly schedules on a semesterly basis based on tutor availability and school need, and manage all related communication & outreach.
  • Ensure tutor onboarding requirements are completed in time for them to start work on their established start date.
  • Manage the onboarding team to ensure proper documentation of tutors' onboarding statuses, and ensure effective support and communication with tutors throughout the onboarding process.
  • Create and manage processes for tutor offboarding to ensure tutor statuses are properly updated on a semesterly basis.
  • Manage school and district onboarding and offboarding processes
    • Set strategic vision for school/district on & offboarding and generate clear plan for execution
    • Ensure school/district onboarding requirements are completed on-time for established program start.
    • Manage communications and relationships with district background check departments, the background check service provider IdentGO, and all other district departments/external providers required for effective onboarding
    • Oversee the collection of enrollment data for schools and districts to ensure each school is effectively onboarded.
    • Create and manage processes for school and district offboarding to ensure necessary information is collected from and shared with schools and districts.

Data Operations & Other Responsibilities

    1. Data Collection:
      • Update forms promptly with new information to ensure accurate and up-to-date data.
      • Collaborate with relevant teams to streamline the data collection process and improve efficiency.
      • Conduct regular audits to identify and address any discrepancies in collected data.
    2. Data Reporting:
      • Generate daily reports for various tools, trackers, and systems to provide actionable insights.
      • Compile and organize data for payroll and invoicing purposes, ensuring accuracy and timeliness.
      • Collaborate with cross-functional teams to understand reporting requirements and customize reports accordingly.
    3. Data Quality Assurance:
      • Maintain meticulous records to uphold data integrity and reliability.
      • Identify and resolve data discrepancies through thorough analysis and collaboration with relevant stakeholders.
      • Implement quality control measures to ensure data consistency and compliance with established standards.
    4. Data Agreements & Compliance:
      • Ensure all data agreements adhere to legal requirements.
      • Collaborate with legal and compliance teams to review and update data agreements as needed.
      • Regularly monitor and update processes to align with changing compliance standards.
    5. Coordination of District Data Sharing:
      • Facilitate communication and collaboration for district-wide data sharing initiatives.
      • Work closely with district teams to understand data sharing needs and ensure alignment with organizational objectives.
      • Implement and enforce data sharing protocols to safeguard data privacy and security.

    Other duties as assigned; may vary depending on the time of year and organizational needs, but could include:

    • Assist recruiting team during key seasons of the year by hosting information sessions, attending career fairs, coordinating on-campus booths, etc.
    • Interview candidates and write evaluations to determine if they should be hired

    Prior Experience

    • At least 5 years of full-time work experience with 3 years of direct management experience
    • Strong vision-setting and leadership experience with proven track record of success in affecting structural changes
    • Substantial experience in operations management roles, preferably in an educational setting

    Work Demands

    • Occasional weekends and evening work required
    • Regular attendance is required
